How to best connect a Contact to a Company (Primary) record.
Follow these steps in cleaning up the database and ensuring that all relevant Contacts are connected to a Company Primary record.
Can use this Contact View [CLEANUP] Contacts without associated company to check for records that have a Company name, but do not have a Company Primary association.
Background:
Company Name and Contact > Company Primary are two separate, but similar properties in Hubspot.
While Company Name is helpful in understanding the organization name, and is often something that the stakeholder will enter on a form, it does not provide the full connectedness that the Contact > Company Primary association will offer. It is critical to ensure that all CCCTA stakeholders have an associate Contact > Company Primary record.
What Does a connected Company Primary association look like?
When the Contact > Company Primary record is populated correctly, it will look as follows in the contact view.
When the individual contact record is viewed in detail, the Company Name can be seen in the Contact table (left screen / yellow) and the Contact > Company Primary can be seen (right screen / orange)
Cleanup Actions
To assist in database cleanup, visit the View [CLEANUP] Contacts without Associated Company.
Step 1: Check Record
The Company Name is populated, however the contact "Lucky" is not connected to Contact > Company Primary
You must visit the detailed Contact record for "Lucky" to associate a Company.
Open Record New Tab: To view the detailed record, without losing your sorted view, select the Name link while holding CTRL+click or APPLE+click to view the detailed record in a new tab.
Step 2: Verify Contact Details
Take this opportunity to verify any contact details - specifically First Name, Last Name and phone number if known.
Step 3: Associate Companies record
- Select Add on Companies (Top Right)
- Search Existing Companies for the brand or common name for the facility.
In the Instance for "Lucky" a search for "imperi" and the Imperial Motel was rendered. If there is an Existing URL, then please attach it. - If there is no Existing Company, Create new with their URL (no precursor text like www. or https://)
If there is no domain for Company > Primary, click on the "Company Name" field and enter the Company Name. The domain can be added at a later date 🤓
Step 4: Contact Record Best Practices
- Ensure all Contacts follow best practices have "First Name" "Last Name" and "email" and if possible phone number.
- Ensure all Contacts have an associated Company
- If the Contact record does not have any first or last name information, the contact may not be suitable as an industry contact and may require further cleanup.
